FAQ
Frequently asked questions
How are you different from an AI adviser?
Advisers tell you what you could do. I do it. I find the opportunity, build the system, train your team as part of the rollout and keep it running afterwards. You deal with one person from start to finish.
What does it cost?
Everything is fixed price or a clear monthly fee, so you know the cost before we start. As a guide: an AI Opportunity Review from $1,500, a team kick-off session from $1,500, build sprints from $3,000 and care plans from $300 a month. The owner's AI confidant option is priced separately. AI tools also have running costs (for example, phone minutes for a voice agent or usage fees for an AI service), and I'll estimate those for you up front. The first 30-minute chat is free.
Is my data safe?
I take this seriously, and I design each build around it. Before building anything, I'll explain exactly what data the system uses, where it's stored, which services it passes through and who can see it. I use business-grade AI services, which generally don't use your data to train their models (I check the terms for each). I keep access to the minimum needed, and I build in human checks for anything sensitive. If something shouldn't go into an AI system, I'll tell you.
Which AI tools do you use?
I choose tools to suit the job, not the other way around. I often work with OpenAI models, Retell AI for voice agents, Twilio for phone calls, n8n for automation workflows, Pinecone for search, Shopify, and Microsoft 365 or Google Workspace. Where possible I build on tools you already pay for. I don't take commissions from vendors, so my view on any tool is an honest one.
Do I need technical staff?
No. I handle the technical side. What I need from you is someone who knows the work well, so the system fits how your business actually runs, plus a little time to test and give feedback. Training for your team is part of every rollout.
What happens if something breaks?
Things do occasionally break, usually because a connected tool changes something on its end. I design systems with that in mind: they're documented, monitored where it matters and set up to fail safely (for example, passing a call or task to a person instead of getting it wrong). On a care plan, I fix problems as part of the monthly fee. Without one, I can fix things at an agreed rate.
How fast can you get something working?
A build sprint takes two to four weeks from start to a working system, depending on the scope. The AI Opportunity Review comes first, so we're building the right thing.
Is this really suitable for a small business?
Yes. That's who I work with. Small businesses are often the best place for AI: decisions are quick, the problems are clear and a few hours saved each week makes a real difference. I won't recommend a big project when a small one will do, and I'll tell you if I don't think AI is worth it for you right now.
Who owns what you build?
You do. Accounts for the services your system runs on are set up in your business's name wherever possible, so you're never locked in.
Where is my data stored? Do you follow Australian privacy rules?
I work within the Australian Privacy Principles and design each build with your obligations in mind. Some AI services process data overseas. Where that's the case, I'll tell you upfront, explain the options (including Australian-hosted services where they're available and suitable) and help you decide what's appropriate for your business and your customers.
What if I'm not sure what I need?
That's normal, and it's what the free chat is for. Tell me what's taking up your team's time, and I'll tell you honestly whether AI is a good fit and what I'd look at first.
